What is bookkeeping?

Bookkeeping is the ongoing recording, categorising and reconciling of a business's financial transactions, so that accounts, reports and tax returns can be prepared from accurate records.

Most small businesses fall behind on bookkeeping for the same reason: it is never urgent until it suddenly is. A quarter of unreconciled transactions makes VAT returns slow, cash planning guesswork and year-end expensive. Regular, careful bookkeeping keeps the numbers usable every month, so you can see what you earn, what you owe and what is coming in.

Who is it for?

  • Founders doing their own books

You spend evenings matching receipts and want that time back without losing track of your numbers.

  • Online stores

Payouts from Shopify, Stripe, PayPal and marketplaces need matching to orders, fees and refunds.

  • Agencies and consultancies

Project-based income, contractor bills and expenses need tidy records and timely invoicing.

  • Accountants with overflow work

You need reliable help with transaction processing for clients during busy periods.

What's included, and what you keep

What's included

  • Recording and categorising bank and card transactions

  • Supplier bills and receipt matching
  • Accounts receivable follow-up lists
  • Accounts payable schedules
  • Payroll journals from your payroll provider's reports

What you receive

Handed over at the end. Yours to keep.

  • A list of open questions and missing documents
  • Receivables and payables summaries
  • A written procedure for your bookkeeping routine

What we do, and what stays with your accountant

Bookkeeping and accounting overlap, but they are not the same job. We keep the day-to-day records accurate and complete. Your accountant or tax adviser interprets them for tax, prepares statutory accounts, files returns and advises you on what the rules mean for your business.

Tax rules differ by country, and in many countries filing on someone else's behalf requires a licence. That is why we prepare clean records for your accountant rather than filing returns ourselves. If you don't yet have an accountant, we can work with the one you choose.

A typical monthly routine

The exact rhythm depends on your transaction volume and how often you want reports.

TaskWhat it involves
TransactionsBank feeds and card transactions categorised with notes where needed
DocumentsReceipts and bills matched; missing items listed for you
InvoicingSales invoices raised or checked against delivered work
ReconciliationBank, card and payment-provider balances agreed
ReviewUnusual items flagged; questions sent in one list
ReportingProfit and loss, balance sheet and cash summary

Online store bookkeeping

E-commerce books get messy because money arrives net of fees, in batches, sometimes in several currencies. A single payout can contain dozens of orders, refunds and chargebacks. We record payouts properly: gross sales, fees, refunds and the net amount that reaches your bank, so your margins are visible.

Where volume is high, we set up integration tools that summarise sales by day or payout, which keeps the ledger readable without losing detail.

What we need from you to start

  • Access to your accounting software as an invited user
  • Read access to bank feeds or statements
  • Where you keep receipts and bills
  • Your accountant's contact and preferences
  • Your chart of accounts, or permission to tidy it
  • Any opening balances or past adjustments

Multi-currency and cross-border businesses

Businesses selling across borders often receive money in one currency, pay suppliers in another and report in a third. We record foreign-currency transactions with the rates your software applies, keep currency accounts reconciled and note realised gains or losses so your accountant can review them.

For companies with entities or customers in Kosovo, Germany, Switzerland or the UK, we follow the chart of accounts and document rules your accountant uses in each country rather than forcing one template on everything.

How bookkeeping works, step by step

Every step has a clear output you can review. Timing is agreed in your quote.

  1. 1

    Review

We look at your current books, software and documents and list what needs catching up.

  2. 2

    Scope and quote

We agree the tasks, the rhythm and the reports you want, and quote for that workload.

  3. 3

    Clean-up

Any backlog is reconciled first, with open questions sent in one list.

  4. 4

    Routine

Weekly or monthly bookkeeping following a written procedure.

  5. 5

    Reporting

Monthly reports and a short note on anything that needs your attention.

Tools, and what shapes your quote

Pricing is based on your project and agreed in your quote. These are the things that move it.

Bookkeeping pricing factors
FactorWhy it matters
Transaction volumeMore bank lines, invoices and bills mean more processing and checking.
BacklogMonths of unreconciled transactions take time to catch up before the routine starts.
Number of accounts and currenciesEach bank, card and payment provider needs its own reconciliation.
Document qualityMissing or unclear receipts slow the work down.
Reporting needsCustom management reports or departmental tracking add work.
IntegrationsConnecting stores, payment providers or receipt tools adds set-up.

Common mistakes to avoid

What we see go wrong most often, and how a good project avoids it.

  • Catching up once a year

Year-end becomes slow and expensive, and errors are harder to find. Small, regular sessions are cheaper.

  • Recording payouts as sales

Net payouts hide fees and refunds, so your margins look different from reality.

  • Mixing personal and business spending

It creates questions for your accountant and makes reports unreliable.

  • No written procedure

When the person doing the books changes, consistency disappears. A short procedure prevents that.

Frequently asked questions

Do you file tax returns?

No. We keep your records accurate and prepare them for your accountant or tax adviser, who handles tax returns and statutory filings in your country.

Which accounting software do you use?

Xero, QuickBooks Online and Zoho Books most often, and other tools such as FreeAgent, sevDesk or Lexoffice on request.

Can you catch up on a backlog?

Yes. We reconcile the backlog first, list any missing documents, then move to a regular routine.

Can you work with my existing accountant?

Yes, that is the usual set-up. We agree with them how they want the records and month-end handled.

Do you handle payroll?

We record payroll journals from your payroll provider's reports. Running payroll itself stays with your payroll provider or accountant.

Which languages and currencies can you handle?

We work in English, Albanian and German and can record transactions in multiple currencies within your software.

How do you keep our financial data secure?

We work inside your accounting software through our own user accounts that you control, so access can be reviewed or removed at any time.

How is bookkeeping priced?

It is quoted on your workload: transaction volume, number of accounts, backlog and the reports you want.

Can you clean up books someone else kept?

Yes. We review what exists, correct miscategorised items with your accountant's agreement and document what we changed.

Do you chase unpaid invoices?

We prepare receivables lists and can send polite payment reminders in your name, following the tone and limits you set.

Can you set up a new accounting system for us?

Yes. We can set up the chart of accounts, bank feeds and invoice templates in a new system, agreed with your accountant first.
