What is AI chatbot development?

An AI chatbot is a conversational assistant that uses a large language model to understand questions in natural language and respond helpfully, ideally grounded in an organisation's own content rather than the model's general knowledge.

Most chatbots frustrate people with generic answers and loops with no way out. A useful chatbot is grounded in your real content, admits when it isn't sure, cites its sources, and passes the conversation to your team at the right moment with full context. That's the standard we build to, and we test it against real customer questions before it goes live.

Who is it for?

  • Teams answering the same questions daily

Support staff spend hours on opening times, prices, delivery, returns and how-to questions that a well-grounded bot can answer instantly, at any hour.

  • Businesses that lose leads after hours

Visitors arrive in the evening or at weekends with questions. A chatbot answers, qualifies and books a call instead of letting them leave.

  • SaaS and product companies

Users need help inside the product. An assistant grounded in your docs reduces tickets and speeds up onboarding.

  • Service providers with bookings

Clinics, salons and consultants whose customers want to check availability and book without calling.

  • Companies serving several languages

One assistant answers in the customer's language from content maintained once.

How do we stop the chatbot from making things up?

Language models are fluent, not factual. Left alone, they fill gaps with plausible-sounding answers. We reduce that risk in layers. First, the bot retrieves relevant passages from your own content before answering and is instructed to answer only from them. Second, it cites its sources so customers and your team can check.

Third, it's allowed, and encouraged, to say “I don't know” and offer a person instead. Fourth, we test it before launch against a set of real questions, including tricky and out-of-scope ones, and measure how often answers are correct, grounded and appropriately cautious.

After launch, the analytics show which questions it couldn't answer. Those gaps usually point to missing content on your website as much as to the bot itself.

What a good chatbot does for you

  • Answers instantly

Common questions resolved in seconds, at any hour, in the customer's language.

  • Qualifies leads

Asks the right questions and passes warm leads to sales with the details filled in.

  • Books and looks up

Checks availability, books appointments and finds orders through your systems.

  • Shows what people ask

Analytics reveal the questions customers have, and the content your site is missing.

How AI chatbot development works, step by step

Every step has a clear output you can review. Timing is agreed in your quote.

  1. 1

    Scope the job

Which questions and tasks the bot handles, on which channels, and when it hands over.

  2. 2

    Prepare content

We gather and clean the documents, pages and FAQs it will answer from, and fill obvious gaps.

  3. 3

    Build retrieval and prompts

Search over your content, model selection and instructions for tone, scope and refusals.

  4. 4

    Integrate

Website widget or messaging channel, CRM, booking and hand-off connections.

  5. 5

    Evaluate

Testing against real and adversarial questions until accuracy meets the agreed bar.

  6. 6

    Launch and improve

Go live, review conversations and close content gaps regularly.

Tools, and what shapes your quote

Pricing is based on your project and agreed in your quote. These are the things that move it.

AI Chatbot Development pricing factors
FactorWhy it matters
Amount and quality of contentClean, current documentation is quick to use; scattered or outdated material needs preparation first.
Number of channelsEach messaging platform has its own integration and approval requirements.
Actions, not just answersBooking, order look-ups or CRM updates require integrations with your systems.
LanguagesEach language needs testing and sometimes translated content.
Accuracy requirementsRegulated or sensitive topics need stricter guardrails and more evaluation.
Conversation volumeModel usage fees scale with how many conversations the bot handles.

Common mistakes to avoid

What we see go wrong most often, and how a good project avoids it.

  • Launching without testing

A bot that answers confidently and wrongly damages trust quickly. Test against real questions before going live.

  • No way to reach a person

Trapping customers in a bot conversation turns a minor question into a complaint.

  • Feeding it outdated content

The bot is only as accurate as its sources. Old price lists and policies produce wrong answers.

  • Hiding that it's a bot

People should know they're talking to an AI assistant. Transparency builds more trust than imitation.

  • Never reviewing conversations

The unanswered questions are your best guide to improving both the bot and your website.

Frequently asked questions

Will the chatbot make things up?

We reduce that risk by grounding answers in your own content, instructing the model to say when it doesn't know, citing sources and testing against real customer questions before launch. Where accuracy matters most (prices, policies) the bot quotes your source.

Can it connect to our CRM or booking system?

Yes. The bot can create leads, check availability, book appointments and look up orders through your existing tools' APIs.

What does it cost to run?

Running costs are mainly the AI provider's usage fees plus hosting. We estimate them from your expected conversation volume before you commit, and can set limits.

Which languages can it speak?

Modern models handle Albanian, English, German and many other languages. We test each language you need and adjust content and instructions where answers fall short.

How do we keep its knowledge up to date?

The bot reads from your content sources. When you update a page, document or FAQ, the knowledge base refreshes automatically or on a schedule.

Where is our data processed?

We can use business API terms that exclude your data from model training, choose EU regions where providers offer them, or run open-source models on your own infrastructure when data must stay in-house.

Can the chatbot hand over to our team?

Yes, into your inbox, help desk, Slack or WhatsApp, with the full conversation so customers don't repeat themselves.

Will it work on WhatsApp?

Yes, through the official WhatsApp Business Platform, which requires a verified business account and follows WhatsApp's messaging rules.

How do you measure whether it's working?

By resolution rate, hand-off rate, leads captured, customer ratings and accuracy on a growing set of test questions, reported in a simple dashboard.

Do we own the chatbot?

Yes. The code, configuration, knowledge base and conversation data are yours and run on your accounts.
